1. Up to $500 in non-cash gifts per year = TAX-FREE

Non-cash means: gift baskets, products, event tickets and gift cards (with rules)
*Gift cards are allowed as long as they are for a fixed dollar amount, can’t be converted into cash and are not a prepaid credit card.
*If gifts exceed $500, only the extra is taxable

2. Cash = ALWAYS taxable

This includes:
Cash bonuses
Prepaid credit cards

🎉 Holiday parties still get special treatment🎉

A company holiday event is not taxable if:
-It costs $150/person or less
-It’s open to all employees
*Go over that amount? The excess becomes taxable.

Some of the biggest financial hits I see don’t come from major things, they come from small mistakes that slip through the cracks.

Recently, a client accidentally duplicated $40,000 worth of invoices in their payment system. At first glance, it didn’t seem like a big deal. A duplicate entry here or there… easy to miss!

But because those invoices were processed, the GST was paid twice. When it’s a tiny invoice, the extra GST might only be a few dollars. But when it’s $40,000, that “small” mistake suddenly becomes $2,000.

This is why regular checks, reconciliations, and system accuracy matter.

Now that the error has been fixed, that extra GST paid will be credited back next quarter! 🎉

Quarterly bookkeeping sounds convenient and cost-effective. I personally do not offer this service for reasons listed below...

*HOWEVER, I know many bookkeepers who offer this service and it works very well for some business owners. If you think it would work for you, I would be more than happy to refer you to someone who provides this service.*

Here’s why I stick to monthly bookkeeping only:

✅ Real-time information: You need to know your numbers now, not 90 days from now. Monthly updates help you make better business decisions.

✅ Fewer surprises: Quarterly bookkeeping usually means a pile of receipts, missing items, and “mystery” transactions. Monthly bookkeeping keeps things clean, accurate, and stress-free. It can be hard to remember a transaction within a single month, let alone 3.

✅ Easier tax prep: Staying up to date all year makes sales tax filing and income tax filing much more stress free for both you and me!

But the top issues with receipts I see:

1. Only providing the credit card slip

The credit card receipt only shows how you paid and the total amount. It doesn’t show what you bought or the tax breakdown.

2.Mixing in personal expenses

The most common thing I see is a receipt with multiple business expenses on it then one or two that are clearly personal. Its best to keep these separate or cross out the items you know got mixed in.

3. Not properly documenting meals & entertainment

If audited you may be questioned about what the meeting was for and who it was with. Its best to make a quick note on the receipt to document 1. The purpose of the meeting & 2. Who attended. And just an FYI the coffee on your way to work or personal lunch for the office each day DONT count.

Setting boundaries as a business owner can feel awkward 😬

...Especially when you care deeply about your clients. But protecting your time is protecting your business. Here are a few boundaries I have in my business:

1. I follow ethical and legal standards in my bookkeeping- no “just make it work,” no shady stuff. If you ask me to do things that don't align with that then unfortunately we can't work together.

2. I don’t give out my number. I think all my clients will agree that I have a great response time. I like to keep everything in one place (email) so things don't get missed and so there is a paper trail. They can also book a Google Meet whenever they want.

3. Bookkeeping rarely involves true emergencies (we’re not in the ER).
If you’re behind on your stuff, I’ll do my best to help -especially when it’s a one-off. But if it’s a regular thing, I can’t always drop everything every time. That’s not sustainable-and it’s definitely not my fault.

4. I work within the scope of work we agreed upon. If it’s not in the agreement or contract, it’s not part of the service. I love going above and beyond within reason-but not into a whole new job description. You wouldn't hire a plumber for your toilet and then add the dishwasher and sink and expect it to be the same amount. Same goes with bookkeeping.

But, I totally get why so many people do....When you first start a business, you want to keep costs as low as possible so you do it yourself.

Here is the thing....I am in a few bookkeeper business groups and there are CONSTANT questions about how to do things. This isn't because the bookkeepers are not competent...but because there are so many variables that it is not always black and white. Bookkeeping gets complicated! If you attempt to do your own books and there are errors, it just means someone needs to fix them later which means a bigger cost to you.

Here’s the issue I see over and over again ⬇️

When Square deposits money into your bank account, they’ve already taken out their processing fees. That deposit is net revenue, not gross revenue.

Why does this matter?

Let’s say you sell a product for $100.
Square takes out, say, $3 in fees. You receive $97 in your bank account.

If you record $97 as revenue, you’re underreporting your income. That may not sound like a big deal on one transaction, but across hundreds or thousands? It adds up...fast.

What you should do instead:

✅ Record $100 as gross revenue
✅ Record $3 as a merchant fee expense
✅ The $97 deposit then makes perfect sense as the net amount

This way, your books are clean, accurate, and tax-ready.

Every payment processor is different so if you use any others be sure to check out how they work!

Here’s the deal:

✅ WHAT YOU CAN EXPENSE:

💼 Lunch with a client where actual business was discussed

☕ Coffee with a potential partner, investor, or vendor

🥗 Team lunch after a long morning of work.

🛫 Meals while traveling for business (not just on your commute into work)

❌ WHAT YOU CAN’T EXPENSE:

☕ Coffee on your way to work -sorry, that morning caffeine is a you problem.

🥪 Lunch on your lunch break because you didn’t feel like eating what you packed.

🍕 “Lunch meeting” with your spouse. Complaining to your partner about work doesn’t count.

📌 WHAT TO RECORD ON THE RECEIPT:

If you’re going to claim it, it’s good practice to record the following:

👥 Who you were with
💬 Reason for the meeting

The two seconds it takes you to write that down can save you a big headache down the road!

I'll be the first to admit I originally thought it was weird that a bookkeeper wouldn't be willing to use a clients software. Then I became a bookkeeper 😅 . After dipping my toes in a few different programs I quickly learned my lesson.

There are far too many ins and outs of each software to be able to excel in them all. Using too many means too many different protocols, which means more errors will naturally happen. Drop a 💩 if you have just said screw it and ate the cost because you were not sure what to do.

This wasn’t just a one and done payment that I needed to make sure I had the cash on hand for....

I made an investment which involved an upfront cost and a year long contract with monthly payments.

Before I signed on the dotted line these are the steps I took to ensure I was comfortable committing:

1. Ensured my bookkeeping was up-to-date through to the end of June.
2. Moved my quarterly sales tax owing to my savings account as well as 20% of my profit for income taxes.
3. I reviewed my Profit and Loss Statement by month to look at my revenue and expenses and ensure I had the funds.
4. I reviewed some subscriptions and expenses that were “nice to haves” and not essentials and cancelled their auto renew. This ending up keeping a little more money in my account each month.
5. I made sure I had enough in my bank account to cover the cost if there was an unexpected drop in monthly income.

Investing in your business is scary but with a clear financial snapshot it makes it much more comfortable!

Are you recording your assets correctly?

It's important to distinguish between assets and expenses, as misclassifying them can lead to inaccurate financial reports and tax issues.

Assets are items of value your business owns that provide future benefit such as equipment, vehicles, or property. These are recorded on the balance sheet and typically depreciate over time.

Expenses, on the other hand, are costs your business incurs during normal operations like rent, utilities, or office supplies. These are recorded on the income statement and reduce your net profit for the period.

Why does it matter?
Accurately categorizing assets and expenses ensures your financial statements reflect the true health of your business. It affects everything from cash flow management to tax deductions and compliance.

For example: Let's say you buy a $3,000 bike for your bike touring company.
You expect to use it for 3 years
You should categorize it as an asset and record $1,000 as an expense each year for the 3 years.

If you were to expense it instead, you are recording the whole $3000 in that single year making your profit appear lower.
